RE: City Hall Elevator Modernization Project
As you may recall the 2018 CIP allocated $225,000 for modernizing the City Hall elevator. The current
elevator is 35+ years old and is in need of updates of both the mechanical components and the cab
interior. Bids are due the end of this week. A recommendation for award will be ready for the July 24,
2018 Common Council meeting.
The scope of the project will require the elevator to be out of service for approximately 6 weeks, beginning
no earlier than November 14 and completed before Christmas. Addressing both ADA accommodations
and customer service issues will be a priority during this project. Staff have considered three temporary
host sites for the two Common Council meetings scheduled during the 11/14/18-12/26/18 timeline in the
attached matrix. Staff is also proposing to move all regularly scheduled board/commission meetings to
conference rooms within the Safety Building directly across from City Hall. For cost considerations,
Council may need to evaluate whether or not these meetings should be televised during this time period.
Additionally, during this project other conference rooms will be available in the Safety Building for any
other City Hall meetings, appointments or functions.
Discussions are also underway to establish a City Hall reception counter during this project on the first
floor to assist visitors that are not able to access departments located on the 2nd -4th floors of the building.
This counter would help citizens address service calls/inquiries/meetings with departments/employees
on these floors as needed.
We wanted to bring these logistical issues to your attention now so that you may give some thought to
how Council may want to conduct meetings during this time period.

The City Hall Elevator Modernization project is expected to begin November 14, 2018 and be completed by December 26, 2018. The elevator will
be out of service approximately 6 weeks. During this installation two Common Council meetings (11/27/18, 12/11/18) would need to be moved to
other sites. This matrix considered three potential sites that could host and televise live the Common Council meetings during this installation.
Staff Recommendations: Staff believes the Safety Building site provides the best option for the Council meetings given the space has no scheduling
conflicts with other building needs/programs, FM staff is readily available across the parking lot in City Hall and that the video equipment there
can be used to televise the other board/commission meetings as well.
