Rohloff, City Manager DATE: November 10, 2015 RE: Purchase Pursuant to Cooperative Purchase for Network Switch- Information Technology (IT) Division ($27,723) BACKGROUND With the large data and video projects that will be initiated in city divisions in 2016 and the staff relocations within City Hall we have pushed our IT data center network switch to capacity. While the current network switch carries a lifetime warranty, it was purchased in 2006. To maximize that investment while looking at capacity planning for the next decade, IT recommends we invest in a new data center network switch to increasing the robust capabilities of the city network capacity/infrastructure and repurpose the current network switch into the public safety building for expansion. The existing switches in the public safety building will be removed and retained as backups in the event of any infrastructure switch failure while we wait for a replacement to arrive. ANALYSIS Purchasing and iT secured pricing from Wisconsin Counties Association Contract with CDWg. (Contract # WCASI-100103D). FISCAL IMPACT The order will have a total fiscal impact of $27,723. Funding for this equipment would be charged to the IT budget A/N#: 100-0110-7202-00000. This expenditure will result in an estimated $3,400 overage to the 2015 IT operating budget. Finance will adjust the 2015 IT operating budget to reflect this expenditure overage. RECOMMENDATION Section 12-15 of the Municipal Code provides that subject to approval of the City Manager, cooperative purchases pursuant to a contract with any other local, state or federal governmental unit or agency may be made without following a competitive bidding or quotation process. In accordance with Section 12-15 of the Municipal Code and because this cooperative purchase is in excess of $25,000, I am hereby submitting a report of this cooperative purchase to the Common Council.
