($15,400.00) INITIATED BY: PURCHASING WHEREAS, the City of Oshkosh has heretofore advertised for bids for Humidifier Additions for the Oshkosh Public Museum; and WHEREAS, upon the opening and tabulation of bids, it appears that the following is the most advantageous bid: B&P MECHANICAL PO Box 2002 Appleton, WI 54912 Total Bid: $15,400.00 NOW, THEREFORE, BE IT RESOLVED by the Common Council of the City of Oshkosh that the said bid is hereby accepted and the proper City officials are hereby authorized and directed to enter into an appropriate agreement for the purpose of same, all according to plans, specifications, and bid on file. Money for this purpose is hereby appropriated from: Acct. No. 323-1070-7214-06435 Property Improvement Fund – HVAC/Roof Improvement TO: Honorable Mayor and Members of the Common Council FROM: Jon Urben, General Services Manager DATE: April 7, 2014 RE: Award Humidifier Additions for Oshkosh Public Museum BACKGROUND This past fall the Oshkosh Public Museum's HVAC system underwent a series of updates, replacements and modifications replacing various outdated or inefficient components, including all three of the system's 20+ year old humidifiers. Upon completion of the project however, it was determined the original system design with three humidifiers was providing only approximately 11/2 of the relative humidity (RH) levels required for museum environments. After a review of the system with Summit Designs, our HVAC engineering firm, it was determined the HVAC system required two additional humidifiers to provide the desired museum environment of 50 -55 RH, ANALYSIS Working with Summit Designs and staff from the Museum and Facilities Maintenance, Purchasing prepared bid specifications to address the humidifier additions. Bids were advertised on our online NovusVendor system and in the local paper. Bids were received on March 3, 2014. The bid tab is attached. Bids were analyzed and reviewed by Summit Designs and Purchasing. The review concluded the low bid from B & P Mechanical Inc. of $15,400 met the minimum bid specifications. FISCAL LWACT The fiscal impact of this bid is $15,400. This project will be funded from the 2014 Roofing/HVAC Improvements Project listed in the CIP Public Property Improvements and can be charged to A/N #: 323 -1070- 7214 - 06435. The 2014 Roofing/HVAC Improvements CIP was allocated $250,000. This is the first project charged to this fund. RECOMMENDATION Purchasing recommends the Common Council award this project to B & P Mechanical Inc. for $15,400.
