HomeMy WebLinkAbout10-328OCTOBER 26, 2010 10 -328 RESOLUTION (CARRIED 7 -0 LOST LAID OVER WITHDRAWN ) PURPOSE: AWARD BID TO EWALD'S HARTFORD FORD LM FOR STEP VAN FOR WATER DISTRIBUTION CENTER ($74,812.00) INITIATED BY: PURCHASING DIVISION WHEREAS, the City of Oshkosh has heretofore advertised for bids for one (1) 2- wheel drive step van for Water Distribution Center; and WHEREAS, upon the opening and tabulation of bids, it appears that the following is the most advantageous bid: EWALD'S HARTFORD FORM LM 5788 HWY 60 E HARTFORD, WI 53027 Total Bid: $74,812.00 NOW, THEREFORE, BE IT RESOLVED by the Common Council of the City of Oshkosh that the said bid is hereby accepted and the proper City officials are hereby authorized and directed to enter into an appropriate agreement for the purpose of same, all according to plans, specifications, and bid on file. Box 1130 Oshkosh Wisconsin 549903 -13 -11330 City of Oshkosh OIHKOIH TO: Honorable Mayor and Members of the Common Council FROM: Jon Urben, General Services Director DATE: October 19, 2010 RE: Two -Wheel Drive Service Van BACKGROUND The Water Distribution Division needs to replace their 1999 Union City Workhorse van with 29,000 miles. Council approved and allocated $70,000 for this replacement in the 2010 CIP budget. Maintenance records indicate this unit has required more maintenance /repairs in recent years as the cost of operating the unit went from an average lifetime maintenance cost of 26 cents /mile to 78 cents /mile. The new unit will provide a more environmentally - friendly engine, a full three - year /36,000 miles bumper -to- bumper warranty and a five- year /60,000 miles powertrain warranty. ANALYSIS Working in conjunction with the Street Division, Purchasing reviewed and prepared proposals seeking vendors for this unit. The bids were advertised in the local paper and posted online on NovusVendor. Bids were received on September 27, 2010. The bid tab is attached. Working with the Street Division, Purchasing reviewed the bids and concluded the low bid from Ewald's Hartford Ford LM met the minimum bid specifications. FISCAL IMPACT After trade -in this unit will have a total fiscal impact of $74,812. This item was budgeted in the 2010 CIP Budget at $70,000. Funding for this item would be charged to the Water Distribution CIP account: 541- 1810- 1788 -00000 with the overage to be covered by utility reserves. RECOMMENDATION Purchasing recommends the Common Council award the bid to Ewald's Hartford Ford LM for $74,812.
