POKER ON THE FOX Approval to the Poker on the Fox, Inc. Committee to extend the hours of the music at the Leach Amphitheater to 11:00 p.m., on Friday, July 30, 2010, for their Friday Night Poker on the Fox Concert, in accordance with the attached letter of request. BLOCK PARTY Approval to the residents of Nebraska Street to close Nebraska Street, from 14 Avenue to 15 Avenue, on Saturday, July 24, 2010, from 12:00 p.m. to 10:00 p.m., for their neighborhood block party, in accordance with their recently submitted Block Party Request Form. BLOCK PARTY Approval to the residents of Hayward Avenue to close Hayward Avenue, from Pheasant Creek Drive to Fairfax Street, on Saturday, July 31, 2010, from 3:30 p.m. to 10:00 p.m., for their neighborhood block party, in accordance with their recently submitted Block Party Request Form. ST. RAPHAEL'S 5K RUN /WALK Approval to St. Raphael's Parish to utilize Westhaven Drive, Viking Place, Maricopa Drive, Westhaven Circle, Cumberland Trail, Greenfield Trail, and Abbey Avenue on Saturday, August 14, 2010, from 8:00 a.m. to 12:00 noon, for their Parish Picnic 5K Run/Walk, in accordance with the attached letter of request. This letter is to request approval and city services for the first annual Poker on the Fox weekend event. First, I would like to introduce you to the event and the mission behind it. Poker on the Fox is a full weekend celebration. The event invites boaters, motorcyclists, music lovers and the public to enjoy a power sports show, two band concert at the Leach Amphitheater and a Poker Run on throughout Oshkosh and surrounding areas. You can also learn more about this great event at www.pokeronthefox.com. Poker on the Fox, Inc (a non - profit corporation, 27- 2890682) is dedicated to an annual event to supporting our local communities by providing financial assistance to local causes including maintenance of our waterways and the recreational activities they support in the Fox Valley and surrounding areas. The event can be summarized into three specific activities that will occur through out the weekend of July 30 thru August 1, 2010. 1) Friday Night Concert at the Leach Amphitheater — This will be a concert at the Leach Amphitheater on July 30, 2010 from 6:00 PM until 11:00 PM. It will include two bands (Copper Box and Naughty Monkey) with two performances and an encore at the end of the show with both bands together. The concert is a $5.00 entry event. Concessions will be offered with food, soda and beer. All arrangements have been made with all vendors for this event. Additionally, the Special Class B License has been obtained. Since this is a first annual event it is extremely hard to gauge the attendance. But, with the EAA involvement and amount of promotion that is occurring we can anticipate a minimum of 1,000 people anywhere up to 5,000 people. Now, that is a great range but we do not have a history to fall back on. Additionally, Poker on the Fox has already completed the Leach rental agreement and paid the fee. 2) Power Sports Show — This is a boat and motored vehicles show that will take place in the west parking lot adjacent to the Leach Amphitheater that runs next to the river. The show will run from Friday 3:00 PM until 9:00 PM and Saturday 10:00 AM until 6:00 PM. It is a free event for the public to come and view boat and power sports vehicles. 3) The Poker Run — This is the actual event that Poker on the Fox idea started from. For years the Poker on the Fox committee has been involved in, one shape and form, for with poker runs through out the Midwest. This particular poker run will be a shot gun poker run starting at 12:00 AM until 6:00 PM with 14 location stops through out the Fox River, Lake Butte des Morts, the Wolf River and Lake Winnebago (a map can viewed on our website). This event is open to boaters and motorcyclists. The way it works is you stop at each location and then receive a stamp in your program that allows you to receive a card for that stamp. You do not have to go to all locations though. All you need is 5 stops to get 5 cards for your poker hand. But, the more stops you go to the more cards you can get in exchange for a bad card. Thus, a better hand. Plus at each stop there is a special of some sort. The poker run then ends at the City Center with a reception in the Ball Room. Poker oh the Fox has been under construction for over 6 months and is prepared for the event with scheduling, vendors, entertainment, sponsors, volunteers and many other functions needed to run such an event smooth. Additionally, a meeting has been set with Raymond Maurer, Matthew Harris and committee members of Poker on the Fox at the Leach Amphitheater on Tuesday June 29 at 2:30 PM. I encourage you to attend that meeting. We believe that this event is a great addition to the foundation of events that people within the community and boaters and motorcyclists from around the Midwest can come to Oshkosh and enjoy. Poker on the Fox, as a annual event, will grow to be a event that will help identify Oshkosh to the neighboring communities and beyond. (Donor) has expressed an intention to make a donation to Winnebago County Parks Department organized under the laws of the State of Wisconsin, (WPD) in order to provide to WPD a portion of the financial resources required to purchase and maintain buoys and the buoy system within Lake Winnebago and the Fox River located in Winnebago County, Wisconsin. This Letter of Intent (LOI) outlines the agreement between Donor and WPD at a preliminary stage of the development process. When it becomes appropriate, the Parties intend to enter into a more formal agreement, if required. The LOI will constitute the agreement between the Parties until such a document is executed. I. THE EVENT Poker on the Fox is an annual full weekend celebration on July 30 — August 1, 2010. The event invites boaters, motorcyclists, music lovers and the public to enjoy a Powersports show, two band concert at the Leach Amphitheater and a Poker Run on and throughout Oshkosh and surrounding areas within the Fox Valley. II. MISSION Poker on the Fox is an annual event dedicated to supporting our local communities by providing financial assistance to local causes including maintenance of our waterways and the recreational activities they support in the Fox Valley and surrounding areas. III. DONATION Donor hereby intend(s) to unconditionally donate forty percent (40 %) of all net profit from the weekend event to WPD for and only for purchase and maintenance of buoys and the Fox Valley buoy system. Donor confirms that Donors decision to donate has been freely and voluntarily made by the Donor. Donor understand that Donor intent to donate is subject to acceptance by WPD, and, if accepted, WPD will endeavor to use the funds appropriately toward the Fox Valley Buoy System. IV. PROJECT OWNERSHIP It is intended that WPD will own the Project. As such, WPD will, with the input of the donors to the Project, make all major decisions relating to the development of the Project, and any donor to WPD and the Project will have no ownership interest in the Project. V. COSTS As Project owner, WPD will be responsible for all costs associated with the Project. However, it is intended that all costs, as the event grows over the years, related to the Project will be covered by donations from Donor. The donation specified in this LOI will enable WPD's Project the latitude to enhance the buoy system to ensure a better and safer waterway. V. TERMINATION Either Party hereto may terminate the LOI without cause at any time, if the Project is permanently abandoned, or if either Party fails substantially to perform in accordance with the LOI. Notice of termination must be in writing and sent via first class mail at least ten (10) days prior to the actual date of termination. As part of this event, we are planning a 5K walk / run on Saturday morning, August 14 Registration for our event will take place on the weeks approaching the event as well as beginning at 8:00 am on the morning of the event. The walk / run will start at 9:00 am sharp. The route is one that we have utilized in the .past and we have included a map and the route with those details. (Attached). We will have committee members posted as marshalls on the route to assist runners with directions and to ensure the safety of participants and residents, since we will be running on the streets. This is not expected to be a major event as our committee will be pleased if this year we attract approximately 100 participants.
