FOR INDUSTRIAL EXCAVATOR FOR STREET DIVISION ($84,152.24) INITIATED BY: PURCHASING DIVISION WHEREAS, the City of Oshkosh has heretofore advertised for bids for one (1) industrial excavator for Street Division; and WHEREAS, upon the opening and tabulation of bids, it appears that the following is the most advantageous bid: BROOKS TRACTOR INC. 1031 Lawrence Drive PO Box 5037 DePere, WI 54115 Net bid with Trade — John Deere 75D $84,152.24 NOW, THEREFORE, BE IT RESOLVED by the Common Council of the City of Oshkosh that the said bid is hereby accepted and the proper City officials are hereby authorized and directed to enter into an appropriate agreement for the purpose of same, all according to plans, specifications, and bid on file. Box 1130 Oshkosh, 54903-1130 City of Oshkosh 0 OfHKOJ TO: Honorable Mayor and Members of the Common Council FROM: Jon Urben, General Services Director DATE: March 11, 2010 RE: Street Division Industrial Excavator BACKGROUND The Street Division needs to replace their 1999 Komatsu excavator. This excavator has logged over 3,100 hours and has been used year -round for digging associated with storm and sewer repairs. Unfortunately this excavator will require repairs to its turntable that may cost more than its trade -in value. A new excavator will come with warranty coverage and thus will have less maintenance costs. In addition, a new excavator will also be more fuel efficient. The Council approved and allocated $165,000 for a replacement excavator in the 2010 CIP. ANALYSIS Working in conjunction with the Street Division, Purchasing reviewed and prepared proposals seeking vendors for this excavator. Bid requests were sent to vendors who have received invitations to bids in previous years. In addition the bids were advertised in the local paper and posted online on NovusVendor. Bids were received on February 25, 2010. The bid tab is attached. Working with the Street Division, Purchasing reviewed the bids and concluded the bid from Brooks Tractor Inc. was the sole bid that met the bid specifications. FISCAL IMPACT After trade -in this excavator will have a fiscal impact of $84,152.24. This item was budgeted in the 2010 CIP major equipment replacement at $165,000. Funding for this item would be charged to the Street Division CIP account: 323 - 0430 - 7204 - 06008. RECOMMENDATION Purchasing recommends the Common Council award this bid to Brooks Tractor Inc. for $84,152.24.
