Re: Oshkosh Public Museum Signage Design Services
Dear Anna,
Thank you for inviting us to submit a proposal for landscape architectural design services for the
Oshkosh Public Museum signage project. We are excited at the prospect of continuing to work with the
Museum to develop one new monument sign, incorporate a new banner pole location, and basic
landscape restoration these two new features. This proposal includes project design for these features,
graphic and general project communication, entitlement, drawing production for a set of bid-ready
plans, bidding assistance, construction administration, and project close-out. We will suggest lighting
locations and coordinate with the City’s preferred vendor but anticipate that others will design, specify
and install the lighting components of the project. We understand the design scope to be modification
of previous plans prepared by our office and dated 12/22/2021, with reductions in overall size and
complexity to align with your stated total project budget of $75,000.
Our work could begin as soon as authorized with the following milestones anticipated:
- September 2024 Contracting and Project Kick-off
- October 2024 Project Design & Documentation
- November 2024 Bidding by the City of Oshkosh
- December 2024 Bid Award by the City of Oshkosh
- Spring**, 2025 Start of Construction (**Dictated by weather conditions and
Contractor schedules; ideally early March start)
- June 2025 Substantial Completion
- July 2025 Final Completion
We would provide the services listed in the attached fee schedule on an hourly, not to exceed basis,
including reimbursables. Additional services authorized as part of this contract or a separate contract
can be provided our office’s current hourly rates. Itemized invoices are prepared by our office monthly
and are due upon receipt. If you find this proposal acceptable, please sign and return one (1) copy. This
proposal is good for 30 days. Feel free to contact me directly if you have any questions or concerns.

Up to two signage concepts for review with Owner to include
updated masonry pillars and precast concrete elements with
laser cut raised lettering and single banner pole (NIC actual
banner design, layout or content). Includes updated opinion of
probable cost update.
Meeting #2 - Review Meeting w/ Owner 2
(1) Virtual Meeting to review signage concepts with Museum
director, designer, and other staff as required.
Draft Signage & Site Restoration Plan
Package for Construction 6 6
Refinement of preferred signage option to construction
documentation-level refinement including dimensioning,
materials call-outs and layout plan enlargements for locating
the sign and banner pole on site. Also includes draft landscape
restoration plans for turf repair and basic maintenance edge
around signs . Assumes a single document package for bidding
and construction. Footings/foundations for sign and banner
post will be indicated as "Design-build by sign Contractor
and/or masonry Contractor. Submit shop drawings."

(1) Virtual Meeting to review bid document package and
coordinate bid package.

Updates to bid documents to address changes or clarifications
from bidding process to produce a final FOR CONSTRUCTION

Address submittals and RFI's, off-site coordination addressing
field changes and contractor questions. Assumes (1) virtual
preconstruction meeting and up to 2 site visits (Progress Visit,
and Punchlist Walkthrough) with follow up reports and Owner
and/or City representative will coordinate day to day onsite
construction administration.

This proposal assumes that site topographic and features survey from previous Oshkosh Public Museum projects has information of a sufficient detail for design and documentation of
this project. If at any point additional survey is required, it will be the responsibility of the client (City of Oshkosh) to obtain the additional survey data of missing features or areas
deemed to have insufficient survey data at any point during the project.

SITE GRADING: Current scope of project does not include the need for any site grading design and/or documentation.
PROJECT AREA EXPANSION: Site design and/or documentation for any adjacent museum grounds areas, right-of-ways, or additional zones of site and/or landscape within the legal
property boundary or the project boundary above and beyond those specific areas documented in the 12/11/2021 design drawings, excluding landscape planting and pavement design
areas from that previous project area.
RENDERINGS: Additional renderings, 3-D models, drawings and/or exhibits not specifically listed above.
PROGRAM EXPANSION: Design, detailing, or materials selection/specification for program areas or features above and beyond those outlined in the base scope of services dated
8/28/2024 (i.e. additional garden areas, planting bed design, site design for pavements, walkways and/or additional signage or wayfinding features).
MEETINGS: Additional meetings, presentations and/or appearances above and beyond those listed in the base scope of services (internal design team, stakeholder, entitlement,
governing body staff, governing body department, governing body committee, permitting body, entitlement, etc.) and/or requests for in-person meetings in lieu of virtual meetings
where virtual meetings have been specifically outlined in the proposal.
Saiki Design will provide final drawings and specifications in .pdf file format, adhering to basic formatting requests made by the client whenever possible, utilizing software that
optimizes our office's workflow. We will evaluate requests by clients to utilize outside proprietary software to produce or collaborate on project deliverables and/or project
communications on a case-by-case basis and reserve the right to decline utilization of any new software that requires our office to purchase new products, license new subscriptions,
and/or expend additional time and effort on product and/or project integration. A list of current software utilized in-house is available upon request.
In the event that Saiki Design is asked to prepare digital data, the Owner acknowledges that due to the limitations of software, not all elements of Saiki Design's services may be
represented and any use of digital data prepared by Saiki Design shall not relieve the Owner's consultants, contractors or other authorized recipients of their respective obligations
related to the data use. Accordingly, Saiki Design will endeavor to represent all material elements of our services as accurately and completely as possible in the Digital Data.
ADDITIONAL SERVICES (Items listed below can be provided by Saiki Design at current office hourly rates, available upon request)
BID SET PRODUCTION: Production of multiple bid sets or additional coordination, drawing revisions, etc. required to install site and landscape as phased installation. Base scope of
services assumes a single bid package for all project drawings and specifications.
SUPPLEMENTAL PLANS OR SPECIFICATIONS AND/OR ISSUANCE SETS: Coordination and/or production of any additional drawings and/or specifications above and beyond those
specifically listed in the base scope of services i.e. Fire Department Access, Life Safety, Demolition and/or Site Clearing, Right-of-Way, etc. Production of Record Drawings and/or any
other issuance sets above and beyond those listed specifically in the base scope of services.
PROJECT DURATION EXTENSION: Extended timeline beyond timeline outlined in phased scope breakout included in base scope of services and/or the project schedule prepared by Saiki
Design and dated 8/28/2024.
CONSTRUCTION ADMINISTRATION EXTENSION: Extended involvement in the project's construction administration and close-out phase to cover communication, meetings, reviews,
site visits, punchlist item curing and enforcement of the Contract Documents and/or other services above and beyond those outlined in the base scope of services as a result of project
installations that do not meet the quality or technical standards set forth by the Contract Documents.
