HomeMy WebLinkAbout07. 22-63FEBRUARY 22, 2022 22-63 RESOLUTION (CARRIED____7-0____LOST________LAID OVER________WITHDRAWN________) PURPOSE: APPROVE AMENDMENT WITH IMAGETREND FOR ALADTEC INTEGRATION FOR FIRE DEPARTMENT (+$3,500.00) INITIATED BY: PURCHASING DIVISION WHEREAS, the Fire Department previously entered into a professional services agreement with ImageTrend for its records management system and with Aladtec for its staffing management system; and WHEREAS, to integrate and improve the efficiency of both systems the Fire Department solicited a proposal from ImageTrend for an amendment to the annual ImageTrend service agreement to integrate both software systems. NOW, THEREFORE, BE IT RESOLVED by the Common Council of the City of Oshkosh that the proper City officials are authorized and directed pursuant to Section 12-11 of the Municipal Code to enter into an amended agreement with ImageTrend for the purpose of developing and implementing an integration feature for the ImageTrend and Aladtec systems. BE IT FURTHER RESOLVED that an amendment to the agreement with ImageTrend is approved and said City officials are authorized and directed to take those steps necessary to implement the terms and conditions of the final agreement. BE IT FURTHER RESOLVED that money for this purpose is hereby appropriated from: Acct. Urben, General Services Manager DATE: February 22, 2022 RE: Approve Amendment with ImageTrend for Aladtec Integration for Fire Department ($3,500.00) BACKGROUND The Fire Department utilizes ImageTrend software for its records management system and Aladtec software for its staffing management system. Currently both programs cannot integrate with each other, making them less efficient and requiring duplication of work between the systems. ANALYSIS So as to improve the efficiencies of both systems the Fire Department solicited a proposal from ImageTrend for an amendment to the annual ImageTrend service agreement to integrate both software systems. The additional annual cost for this integration feature is $3,500.00 and would be added to the annual ImageTrend service agreement cost. FISCAL IMPACT The current annual cost for the ImageTrend service agreement is $22,395.65. The annual cost to add the amendment for the Aladtec integration feature ($3,500) to the ImageTrend service agreement will result in a total annual fiscal impact of $25,895.65. There are sufficient funds for the additional amendment cost in the Fire Department’s Operating Budget A/N# 01000230 6407 (cloud-based computer services). RECOMMENDATION Section 12-11 of the Municipal Code provides that subject to approval of the City Manager, purchases may be made without following a formal competitive bidding process when the purchase is from only one source of supply or when standardization or compatibility is the overriding consideration. In accordance with Section 12-11 of the Municipal Code and with approval by the City Manager, Purchasing recommends the Common Council approve the amendment to the service agreement for $3,500.00 with ImageTrend, 20855 Kensington Blvd, Lakeville, MN 55044.
