Urben, General Services Manager DATE: February 14, 2022 RE: Award Bid to Ferguson Waterworks and Core and Main for 2022 Water Materials and Brass Goods for Water Utility Division ($162,156.70 estimated) BACKGROUND Each year the Water Utility Division seeks vendors to provide necessary water materials and brass goods for their operations. Maintaining the inventory of these materials allows the Water Utility Division to have the proper replacement parts on hand for quick repairs to restore water service. ANALYSIS Working in conjunction with the Water Utility Division, Purchasing reviewed and prepared proposals seeking vendors for the 2022 order. Bid requests were sent to vendors who have bid in previous years. Bids were due on February 2, 2022. The bid tab is attached. FISCAL IMPACT The water materials and brass goods are purchased out of the following Water Utility inventory account numbers as referenced on the attached bid tab: 541-1810-1501-00000 (Inv-Main Piping), 541- 1810-1503-00000 (Inv-Main Fitings/Joints), 541-1810-1504-00000 (Inv-Hydrants & Parts), 541-1810-1505- 00000 (Inv-Misc Fittings & Materials), and 541-1810-1508-00000 (Inv-1 Copper Tubing), and the following Water Utility expense account numbers: 541-1867-6517-08673 (Supplies-Repair Parts/Maint- Mains) and 541-1867-6517-08675 (Supplies-Repair Parts/Maint-Services). The estimated quantities ordered for the materials and goods are also reflected on the bid tab. Based on the estimated 2022 order amounts at the low bid for each section the fiscal impact for these items is anticipated to be $162,156.70. RECOMMENDATION Working with the Water Utility Division, Purchasing reviewed the bids and is recommending the Common Council award the 2022 order of service parts and maintenance parts to Ferguson Waterworks for the low bid amounts for estimated quantities on the attached bid tab for the estimate of $74,516.45 and award the 2022 order of valve parts and hydrant parts to Core and Main for the low bid amount for estimated quantities on the attached bid tab for the estimate of $87,640.25.
