Rohloff, City Manager DATE: January 18, 2021 RE: Cooperative Purchase of Ford Super Duty F350 Truck Chassis for Sign Division ($38,377.00) BACKGROUND The 2021 CIP Major Equipment budget allocated $90,000 to replace a Ford F450 truck used by Sign Division of the Transportation Department. This unit is used to replace street signs and street posts and is used for snow removal. The new unit replaces a 2005 Ford F450 with 66,019 miles that is beyond its useful service life. The new unit is a 2021 Ford F350 that will be equipped with an arrow board for traffic notifications and improved operator safety. It will also have more visible strobe lighting and updated hydraulic tool capability. This memo is to report the truck chassis purchase of this vehicle pursuant to the cooperative purchase exception of our purchasing ordinance. ANALYSIS Purchasing has verified that Ewald Automotive Group holds the State of Wisconsin Department of Administration contract (#505ENT-M19-2019VEHICS-00) for this vehicle. FISCAL IMPACT The 2021 CIP allocated $90,000 for this purchase. The fiscal impact of the Ford 350 chassis from Ewald's state contract is $38,377.00. The balance of funds allocated for this vehicle will be used for supplemental body and equipment that will be solicited for bid in the coming months. This purchase will be charged to A/N#: 0323 0810 7210 66116 (MOTOR VEHICLES- Sign Service Truck). RECOMMENDATION Section 12-15 of the Municipal Code provides that subject to approval of the City Manager, cooperative purchases pursuant to a contract with any other local, state or federal governmental unit or agency may be made without following a competitive bidding or quotation process. In accordance with Section 12- 15 of the Municipal Code, I am hereby submitting a report of this purchase to the Common Council.
