HomeMy WebLinkAbout03. 20-34 JANUARY 28, 2020 20-34 RESOLUTION (CARRIED 6-0 LOST LAID OVER WITHDRAWN ) PURPOSE: AWARD BID TO HUNTER SECURITY AND SURVEILLANCE SYSTEMS FOR AN EXACQVISION NETWORK VIDEO RECORDER FOR INFORMATION TECHNOLOGY DIVISION ($26,165.00) INITIATED BY: PURCHASING DIVISION WHEREAS, the City's current Network Video Recorder has surpassed its years of service and requires replacement; and WHEREAS, the City of Oshkosh has heretofore advertised for bids for the replacement network video recorder unit; and WHEREAS,upon the opening and tabulation of bids, it appears that the following is the most advantageous bid: HUNTER SECURITY AND SURVEILLANCE SYSTEMS W7567 Molly Marie Court Greenville, WI 54942 Total Bid: $26,165.00 NOW, THEREFORE, BE IT RESOLVED by the Common Council of the City of Oshkosh that the said bid is hereby accepted and the proper City officials are hereby authorized and directed to enter into an appropriate agreement for the purpose of the same, all according to plans, specifications, and bid on file. Money for this purpose is hereby appropriated from: Acct No. 0100-0110-7202 Information Technology/Office Equipment Cry of Oshkosh TO: Honorable Mayor and Members of the Common Council FROM: Jon G.Urben, General Services Manager DATE: January 16,2020 RE: Award Bid to Hunter Security and Surveillance Systems for an ExacqVision Network Video Recorder for Information Technology Division($26,165.00) BACKGROUND The City's current NVR(network video recorder)has reached the end of its normal service life and must be replaced. The NVR records and stores video surveillance from city facilities and police department interview rooms. The Common Council allocated$30,000 in the Information Technology Division's 2020 Operating Budget for this lifecycle replacement. ANALYSIS Working with IT staff, Purchasing prepared bid specifications for a replacement unit. Key to the specifications was that the new NVR would have to be able to migrate from the existing NVR, allowing existing data to be retained and accessible for 121 days. Additionally,the specifications required bidders to acquire temporary licensing for the existing system after the existing license is transferred to the new NVR. Bids were advertised in the local paper and posted online on Onvia Demandstar. Bids were received on January 16, 2020. The bid tab is attached. Staff reviewed of the bids concluded the low bid met all minimum bid specifications. FISCAL IMPACT The total fiscal impact for this bid is$26,165.00. This project will be charged to A/N#: 01000110-7202. RECOMMENDATION Purchasing recommends the Common Council award this bid to Hunter Security and Surveillance Systems for$26,165.00.
